Managing Giveaway Participants

The Participants area helps merchants review customers who entered giveaway campaigns.

Use this section to check entries, tickets, order activity, customer details, and campaign participation history.

Where to find Participants #

Inside PrizeSuite, go to:

Participants

This area shows giveaway participation data for your store.

Depending on your setup, you may be able to filter or select a specific giveaway to review its participants.

What you can see #

The Participants area may show information such as:

  • Customer name
  • Customer email, when available
  • Giveaway campaign
  • Entry or ticket count
  • Ticket numbers
  • Order activity
  • Entry source
  • Participation status
  • Entry date
  • Related reward or giveaway activity

The exact fields may depend on your campaign type and available customer/order information.

Select a giveaway #

For the clearest view, select a specific giveaway before reviewing participants.

This helps you focus on one campaign and avoid mixing activity from multiple giveaways.

Review customer entries #

Each participant row helps you understand how a customer entered the giveaway.

Use the participant data to confirm:

  • The customer entered the correct giveaway
  • The expected number of entries or tickets was assigned
  • The order or activity is connected correctly
  • The customer details look correct
  • The participation status is valid

Review tickets #

If your giveaway uses tickets, check that ticket numbers appear correctly.

Ticket numbers may be used later for:

  • Customer My Rewards display
  • Winner selection
  • Winner announcements
  • Internal campaign review

Search and filter participants #

Use available search and filter tools to find specific customers, entries, tickets, or statuses.

This is useful when a customer asks about their giveaway entry or ticket number.

Before selecting winners #

Before selecting winners, review Participants and confirm:

  1. The correct giveaway is selected.
  2. Entries or tickets look complete.
  3. Test entries are removed or handled correctly if needed.
  4. The campaign has ended or is ready for winner selection.
  5. The participant list matches your campaign rules.

Troubleshooting #

If a participant is missing:

  1. Confirm the customer completed the required entry or purchase flow.
  2. Confirm the order was paid or eligible.
  3. Confirm the giveaway was active when the customer entered.
  4. Confirm the customer used the intended product or giveaway page.
  5. Refresh the Participants page.
  6. Check the related giveaway settings.

For better campaign management:

  • Review Participants regularly during active campaigns.
  • Test the customer flow before launch.
  • Keep campaign rules simple and clear.
  • Use filters when reviewing large campaigns.
  • Confirm participant data before selecting winners.
